Accounts Payable Coordinator
The ACCOUNTS PAYABLE COORDINATOR oversees all functions for disbursements for the agency, which include but are not limited to the Accounts Payable department and will also be a backup to the Payroll Coordinator in their absence. They will supervise accounts payable bookkeepers (including any temporary position a/p bookkeepers) and junior and/or staff accountants for the accounts payable department. This position is responsible for overseeing the recording of all financial liabilities incurred by Anderson Center for Autism on a timely basis and that the liabilities are accurately posted to the correct accounts based on the guidelines set forth under the cost reporting manuals of the following agencies who govern Anderson Center for Autism - The Office of Children and Family Support (OCFS), Office for People with Development Disabilities (OPWDD), and New York State Education Department (SED). This position will ensure that reconciliations of the accounts payable aging is completed and reconciled each month. This position will be responsible to make sure that any general ledger accounts that are affected by payables, which may include (but not limited to): Mortgages/Bonds/Loans payables, Fixed Assets (including PPA accounts), Prepaid Expenses, Contracted services, Accrued expenses, and any other accounts that correspond to a disbursement that are not listed here are reconciled by accounts payable staff. This position is responsible for assisting the Director of Finance and/or CFO in preparing the year-end financial audit for items related to Accounts Payable, Fixed Assets, Inventory, and any other assigned items. They will also prepare all work papers related to the same assigned areas (including CFR 1 and 4A) for the CFR. This position will help carry out the agency's internal audit functions as prescribed by the Director of Finance.
Salary Range: $62,360.00 - $66,360.00 Annual Salary; Based on experience.
Responsibilities:
- Overseeing all a/p disbursements of the agency and the supervision of the Accounts Payable bookkeepers and accountants, and ensuring liabilities are correctly recorded and paid timely within the guidelines of the costing report manuals for OCFS, OPWDD, and SED. A monthly reconciliation of the accounts payable aging is required to ensure that payables are being paid and any inaccurate postings are corrected promptly.
- Act as backup to the payroll senior accountant in their absence.
- Maintain the opening and closing of banks and loans, and ensure required forms are signed with proper approvals for the agency. Ensure Burial accounts are closed when appropriate and monitor for those that leave the program to disburse funds to new agency on a timely basis.
- General Ledger Maintenance and updating all agency SOP’s and Fiscal SOP’s as they relate to A/P disbursements, Fixed Assets, Inventory, and other areas as assigned, including updating all allocations on a yearly basis (or as needed for new program openings)
- Month-end closing procedures and assist with preparing monthly financial statements as needed.
- Ensuring that the agency's fixed asset and inventory accounts are reconciled on a monthly basis.
- Assist in the preparation of the year-end reporting items for the financial audit and year-end close as related to: AP, Fixed Assets, Inventory, Leases, Mortgages, and other assigned items, along with the preparation of IRS 1099 forms and ACI 1042 tax forms.
- The ACCOUNTS PAYABLE COORDINATOR will be responsible for conducting internal audit functions as directed by the Director of Finance. This position will also be responsible for the Corporate Compliance SOP for vendors’ responsibilities for Medicaid compliance.
- Assist with completing IRA Personal Allowance Audits.

- BA in Business Administration or Accounting and 3 years of supervisory experience or a combination of both.
